About Kiwanis Club of Perth

Kiwanis is a global volunteer organisation dedicated to improving the lives of children and strengthening communities. The Kiwanis Club of Perth is seeking a committed and responsible individual to join our team as a Volunteer Club Secretary.

Purpose of the Role

The Club Secretary ensures the Kiwanis Club of Perth operates efficiently and effectively. This role is essential for maintaining accurate records, managing communication, and supporting the coordination and documentation of meetings.

Commitment

  • Minimum two-year volunteering term
  • Flexible hours, depending on availability
  • Monthly member meetings: First Saturday of each month
  • Business meeting: Third week of each month
  • Completion of the Kiwanis International online Secretary Course (required)

Qualifications

  • Administration experience (essential)

Requirements

  • Familiarity with charity administration and volunteer programmes
  • Proficiency in email, Google Docs, and file management
  • Valid National Police Check (no older than 3 months)
  • Excellent multitasking and problem-solving abilities
  • Outstanding interpersonal and communication skills
  • Ability to maintain confidentiality at all times

Key Responsibilities

  • Prepare agendas and support meeting organisation in consultation with the President
  • Record and distribute accurate meeting minutes; track and follow up action items
  • Maintain up-to-date membership lists, reports, and official documents in line with organisational policy
  • Manage incoming and outgoing communications, including emails, notices, and Kiwanis International newsletters
  • Respond to and redirect enquiries as needed
  • Log Working With Children Check (WWCC) information as required by law
  • Assist with event preparation and Annual General Meeting (AGM) documentation

Training & Support

  • Full orientation to Kiwanis activities, mission, and administrative processes
  • Access to Kiwanis International online training modules, including:
    • Secretary Course
    • Youth Protection Module

Club Meetings and Bookshop Location: Roxy Lane Theatre, Maylands, unless specified otherwise.
